Large Group Team Building in Marrakech: 100 to 500 People

For a team building event of 100 to 500 people in Marrakech, four formats hold up at that size: parallel workshops in rotation, a medina treasure hunt with many teams playing at once, a shared challenge in the plenary room, and a joint evening. Other activities, such as cooking, quad biking or hot-air ballooning, still have a place, but they run in small groups and have to be multiplied workshop by workshop or vehicle by vehicle. On budget, the model behind our calculator puts a treasure hunt with local transport at roughly €4,400 to €6,900 for 100 people and €13,200 to €20,800 for 300, and a full day rotating between the treasure hunt and a craft workshop at €21,500 to €35,600 for 300. Whether a day of this size works depends less on the activity than on how you split the group, how you time the rotations and how you move people around.

Which formats work for 100 to 500 people?

A large group is not just a small group scaled up. With 300 people, an activity that takes 20 participants at a time does not simply “multiply”: you need 15 sessions, or 15 workshops running side by side, each with its own facilitator and set-up. The formats that work are the ones that can split the group without scattering it.

Parallel workshops in rotation

The group is divided into sub-groups that take turns through several activities running at the same time. The simplest pattern for 300 people: two halves of 150, one on the treasure hunt in the morning while the other is in a craft workshop, then swap in the afternoon. Everyone does both activities, nobody waits around, and lunch brings the whole group together in the middle of the day.

A treasure hunt with simultaneous teams

This is the activity that scales best, because you add teams, not equipment. With teams of six, 100 people make seventeen teams, 300 make fifty and 500 roughly eighty-four. Above about sixty participants, our guide to the medina treasure hunt recommends two or three different routes that converge on a single finishing point, with staggered start times. At 300 or 500, you combine both ideas: several routes, and only half the group playing at any one time as part of a rotation.

A shared challenge in the plenary room

This is the only format where everyone plays at the same moment, in the same room: a table quiz using voting pads or phones, a group build where each table makes one piece of a larger whole, or a challenge whose outcome depends on tables coordinating with each other. It works well as an opener to set the tone, or as a closer to bring together the results of the workshops. It needs a room sized for the group, proper sound and a host who can hold 300 people on a microphone. For a sporty, team-based version, see our corporate olympics in Marrakech.

The joint evening

After a day in sub-groups, the evening is when the group comes back together as a whole. The treasure hunt results and the pieces made in the workshops have their place there. Our guide to the corporate gala dinner in Marrakech covers how to organise it.

Which activities do not scale, and why?

Our comparison of team building activities in Marrakech gives the capacity of each one. Applied to 300 people, it changes how you schedule them.

Activity What limits capacity For 300 people
Medina treasure hunt Crowding in the alleys 50 teams of six, several routes, staggered starts
Cooking workshop Small groups, often 8 to 10 per workshop 30 to 38 workshops at once, or several waves
Quad biking in Agafay Two people per quad at most, under operators’ terms 150 to 300 quads, or several staggered departures
Hot-air balloon One operator’s capacity, shared with all its customers A large share of an operator’s flights for the day
Plenary challenge Room size and sound system The whole group at once

Cooking remains possible for a large group, provided you ask the supplier how many stations it can set up at the same time, not its total capacity over a day. Quad biking becomes a matter of waves: if each wave lasts two hours, three waves fill a whole day and part of the group waits while the others ride. For ballooning, one long-established Marrakech operator states on its website that it has eleven balloons and handles 480 passengers a day across all customers: a group of 300 would take most of that, which has to be negotiated well in advance and confirmed in writing. Our article on hot-air ballooning for company groups sets out the timings. With 300 people, these three activities work best as an option for a volunteer sub-group.

How do you time a day of rotations?

Here is a sample schedule for 300 people staying in town, with a treasure hunt and a craft workshop in rotation and a joint evening. The times are indicative; what they really show is where the transitions fall.

  • 8.45 – 9.30 am. Whole group in the plenary room: briefing, teams announced in advance.
  • 9.30 am – 12.30 pm. Group A on the treasure hunt across two or three routes; group B in the craft workshop.
  • 12.30 – 2 pm. Lunch together, or two sittings if the room cannot seat 300.
  • 2 – 5 pm. Swap: group B on the treasure hunt, group A in the workshop.
  • 5.30 – 6.15 pm. Back in the plenary room for a closing challenge and the results.
  • From 8 pm. Joint evening.

Three rules keep this schedule realistic. First, each slot must last the same time for both groups, or one ends up waiting for the other. Second, the changeover includes travel: if the treasure hunt starts from the workshop venue, the swap is quick; if everyone has to get back on the coaches, allow for boarding time as well as driving time. Third, the finishing time of the treasure hunt is fixed, however far the teams have got: with 300 people, one late team holds up half the group.

How many staff does a large group need?

A single ratio of facilitators to participants would mean little, because it varies so much from one activity to another: it is better to work it out role by role. For the treasure hunt, our guide recommends one companion who knows the medina for each team, or at least for every two teams: with 150 people playing at once, that is twenty-five teams, so thirteen to twenty-five companions. Each workshop has its own facilitator or craftsperson. On top of that come the roles a small group never needs: one person in charge of each sub-group, holding the list and counting heads at every departure; a central coordinator everyone can reach; someone at the treasure hunt finish; and someone dedicated to the coaches.

Ask each supplier to state, in the quote, how many staff they provide per activity and per slot, and who does what. That number separates a realistic proposal from an under-resourced one.

How many coaches, and how do you avoid dead time?

The standard vehicle for a group is a coach of around fifty seats. For 300 people travelling together, you need at least six, and seven to keep some slack; for 500, at least ten. Getting them all away at once takes time: boarding, head counts, waiting for the last person. If you can, base the rotation at a venue where at least one activity happens on site, which removes every other journey. Our article on seminars for 50, 100 or 200 people covers coaches and airport runs, and our guide to moving a large group around Morocco (in French) covers vehicle types.

The medina adds a constraint: coaches cannot drive in. They drop the group at a gate, and each team walks to its starting point. Plan separate drop-off points for each route, or fifty teams will set off from the same spot at the same time.

What budget for 100 and 300 people?

The figures below come from the model behind our online calculator. They include local transport for the day and a 10% contingency. They exclude flights, accommodation, alcoholic drinks, tourist tax and planning fees. The evening is priced at a hotel with a DJ.

One-day programme 100 people 300 people
Medina treasure hunt + local transport €4,400 to €6,900 (€40 to €70 per head) €13,200 to €20,800 (€40 to €70 per head)
Rotation: treasure hunt + craft workshop + transport €7,200 to €11,900 (€70 to €120 per head) €21,500 to €35,600 (€70 to €120 per head)
Treasure hunt + transport + hotel evening with DJ €11,600 to €19,300 (€120 to €190 per head) €32,500 to €51,800 (€110 to €170 per head)

Two takeaways. Activities are priced per participant, so their cost per head does not fall as the group grows: a treasure hunt for 500 people comes to roughly €22,000 to €34,700 with transport. Only the fixed costs of the evening, venue hire and entertainment, are spread more thinly over a larger group. The same evening at a camp in the Agafay desert costs noticeably more: for 100 people, treasure hunt included, the model gives €18,200 to €30,300. Plenary challenges, sports-day formats and escape games are not in our model and are priced on request. Above 300 people, read our guide to a conference or convention in Marrakech for 300 to 1,000 delegates.

Which pitfalls should you avoid?

One activity for 300 people. It is the simplest choice on paper and the riskiest on the day: either the activity takes everyone and turns into a queue, or it runs in waves and half the group does nothing for hours. A rotation costs more, but it removes the dead time.

Gaps between sessions. Every changeover has to be planned: who waits where, with what to drink, and for how long.

The plenary and dinner room. Using ratios taken from the capacities published by a hotel in the city, a seated dinner needs 1.2 to 1.5 m² per person, which means 360 to 450 m² for 300 guests. Few venues can do that, and not every night. One Agafay camp, for instance, states it can serve up to 250 for dinner: beyond that you need another venue, or more than one. In our model, the AV cost of a working day also steps up above 150 participants.

Paperwork. Where a declaration to the prefecture is required, for example for an event open to the public or an evening with amplified music at a villa, the usual lead time is 30 days before the event above 100 people and 15 days below. With 300 people, that sets a hard date in your planning timeline. Amplified music also often has to stop between midnight and 1 am, depending on the venue.

People who cannot keep up. In a group of 300 there are always some for whom three hours on foot in the medina is hard going. Plan alternative roles at the finish point or in the workshop. Our article on a team building programme that excludes no one has practical ideas.

Frequently asked questions

What team building activity works for 300 people in Marrakech?

The medina treasure hunt, because you only need to add teams and routes. Paired in rotation with an indoor workshop, it lets everyone do two activities in the day without waiting.

How much does team building for 100 people cost?

According to our model, roughly €4,400 to €6,900 for a treasure hunt with transport, €7,200 to €11,900 for a treasure hunt and craft workshop rotation, and €11,600 to €19,300 with a hotel evening and a DJ, excluding flights and accommodation.

Can 200 or 300 people go quad biking?

It can be done in several waves, but it is heavy going: under operators’ terms, a quad takes two people at most. For a large group, offer it as an option to a volunteer sub-group instead.

How far ahead should we book?

As early as possible, especially in high season, March to May and September to November, when large rooms and suppliers are most in demand. Any declaration to the prefecture has to be filed 30 days ahead for groups above 100.
