Hotel or Private Estate for Team Building in Marrakech

For team building in Marrakech, the right venue is not just one that can house the group and has a meeting room: it is one where the activity can take place on site, or close by, without depending on the weather. Four criteria make the difference: a shaded outdoor area big enough for the whole group, an air-conditioned fallback room, the option to book the venue exclusively, and the time the music has to stop. A hotel, a private estate, a riad or a desert camp meet these criteria in very different ways. As a benchmark, our costing model puts a 60-person stay with one night, one working day, an evening with a DJ and an on-site craft workshop at about €16,000 to €27,200 in a 4-star hotel and €22,300 to €37,400 in a 5-star.

Hotel, estate, riad or camp: what can you do on site?

A standard seminar needs a meeting room, bedrooms and a dining table. Team building adds a constraint: you need somewhere for the activity, and somewhere to fall back on if it cannot happen outdoors. Here is what each type of venue allows.

A hotel solves accommodation, catering and the fallback room in one go. An estate offers what the city cannot: space, a garden, a pool, and the freedom to make noise later without waking a neighbourhood. A riad suits small groups who want the medina on their doorstep. How far is the venue from the activities?

Many team building activities take place away from where the group sleeps: the medina rally, quad biking in Agafay, hiking in the Atlas, Lalla Takerkoust lake. The venue’s location therefore sets the travel time for every outing. We calculated drive times from two typical starting points, by car and without traffic, then rounded them: a loaded coach, or rush-hour traffic, makes them longer, so treat them as minimums.

The Agafay desert begins less than an hour’s drive from the centre, but each camp has its own address on a vast plateau: ask for the real travel time from your venue. The practical conclusion is simple. A hotel in the medina puts the rally on your doorstep and brings the airport closer. An estate in the Palmeraie adds around twenty minutes to every outing into town, but offers the space to hold the activity on site and not go out at all. If your programme includes two outings a day, a distant estate costs you time; if it keeps the group on site, it saves time.

Does the venue have shade and a fallback room?

Venue listings rarely address this question, yet it decides whether your outdoor activity can go ahead. Marrakech climate normals give an average maximum of 29.4°C in May, 33.6°C in June, 37.7°C in July and still 28.5°C in October. INRS, the French occupational health and safety institute, uses 28°C for physical work as a prevention benchmark, and recommends shade, water and breaks among other measures. From May to October, a lawn in full sun is therefore only usable early in the morning or late in the day.

Ask the venue for three specific things. A shaded area, under trees, a pergola or tents, big enough for the whole group at the same time. An air-conditioned room, separate from the plenary room, where the workshops can be set up if the outdoor activity is cancelled. And drinking water within reach throughout the activity. A venue that ticks all three lets you keep the programme whatever the month.

Rain matters less, but it happens: March is the wettest month, with about 35 millimetres on average. A garden with no shelter then becomes a problem; the same fallback room covers both cases.

Can you book it exclusively, and until what time?

Team building is noisy: teams shouting out answers, music to pace a challenge, an evening with a DJ. In a hotel that is not booked exclusively, you share the gardens with other guests, and the venue will allocate you a space and time slots. Get both specified before you sign.

For the evening, the sound is often cut between midnight and 1 am, and earlier in the medina and residential areas, where neighbours are right next door. An isolated estate or a desert camp gives more leeway. In every case, have the cut-off time written into the contract. Check the alcohol licence too: not every venue is allowed to serve alcohol, and the answer shapes the dinner.

How many participants can the venue sleep and feed?

For team building with an overnight stay, it is often the number of bedrooms that sets the capacity, well before the size of the gardens. A few orders of magnitude, taken from venues’ published figures.

The large resort. The largest Palmeraie resorts have several hundred rooms and meeting rooms for several hundred people. At that scale, the question is no longer space but exclusive use of the outdoor areas for your group alone.

The Agafay camp. Les Terrasses d’Agafay lists up to 250 guests for meals, but 104 guests overnight in 52 tents. For a group where everyone has their own room, the ceiling is therefore 52 participants. A group of 80 can do its activity and have dinner there, then go back to town to sleep.

The riad. Most riads in the medina have five to ten bedrooms: beyond ten participants in single rooms, or around twenty sharing, you need two neighbouring riads or a hotel. Our article on the corporate retreat in a riad works through this calculation.

4-star or 5-star hotel: how big is the budget gap?

Our costing model, the same as the online calculator, prices a typical 60-participant stay: one night in single rooms, one working day with AV equipment, an evening at the hotel with a DJ, an on-site craft workshop and airport transfers, with 10% contingency included.

The gap comes almost entirely from the rooms and the day-delegate package: the evening, the workshop, the AV equipment and the transfers cost the same in both cases. In other words, choosing 5 stars does not buy a better activity, it buys better accommodation. If your aim is team cohesion rather than reward, a 4-star hotel with a fine shaded garden often does better than a 5-star with no outdoor space you can book privately. What should you ask the venue before signing?

Six points to get in writing, which rarely appear in brochures.

  1. The shaded outdoor area available for your group alone, and at what times.
  2. The air-conditioned fallback room, separate from the plenary room, and how many workshops it can hold.
  3. Exclusive use: full, partial, or a reserved space among other guests.
  4. The time the music must stop, and the alcohol licence.
  5. Outside suppliers: can you bring in the facilitator, craftsperson or chef of your choice, or does the venue impose its own?
  6. The real travel time to the planned activity sites, by coach and at the time you will leave.
