Catering for a seminar in Marrakech is priced by format. In our calculator’s model, the working day, which combines the meeting room, refreshment breaks and lunch, costs €35 to €50 per person in a 3-star hotel, €50 to €75 in a 4-star, €65 to €100 in a 5-star and €50 to €80 in a riad. A standard dinner costs €25 to €45 per person. The dinner at a gala evening costs €55 to €85 per person in a hotel, €65 to €100 in a private riad and €60 to €95 in the Agafay desert, before venue hire. These figures exclude alcoholic drinks, the tourist tax and planning fees, and a drinks reception is priced on request. This guide goes through each format, shows the calculations and lists the questions to put to the caterer.
Which catering formats does a seminar need?
A two- or three-day seminar strings together five kinds of meal, and they are not all booked in the same place. Breaks and lunch are part of the day delegate package sold by the meeting venue. Dinners are booked separately, in the hotel restaurant or elsewhere. The gala evening combines a dinner with the hire of a venue. The drinks reception and breakfast are special cases.
| Format | What it covers | Price in our model |
|---|---|---|
| Working day (day delegate rate) | Meeting room, morning and afternoon breaks, lunch | €35–50 (3*), €50–75 (4*), €65–100 (5*), €50–80 (riad) per person per day |
| Standard dinner | Seated evening meal, no private hire | €25–45 per person |
| Gala dinner | The headline evening’s dinner, served in a private venue | €55–85 (hotel), €65–100 (riad), €60–95 (Agafay) per person, plus venue hire |
| Drinks reception | Savoury and sweet canapés, served standing | On request, outside the model |
| Breakfast | Depends on the accommodation rate | Check the accommodation rate |
Every line excludes alcoholic drinks. The calculator adds 10% contingency to the total.
What does a working day with lunch cost?
The working day is the foundation of any seminar. The venue sells it as a per-person package covering the room, the breaks and lunch. Our model does not split the food from the room, and most venues do not either. The category of venue is what sets the price.
For 30 people and one day, the model gives, including 10% contingency:
- 3-star hotel: €1,200 to €1,700, or roughly €40 to €55 per person;
- 4-star hotel: €1,700 to €2,500, or roughly €55 to €85 per person;
- 5-star hotel: €2,100 to €3,300, or roughly €70 to €110 per person;
- riad: €1,700 to €2,600, or roughly €55 to €90 per person.
The working for the 4-star hotel: 30 people × €50 to €75 = €1,500 to €2,250, plus 10% contingency = €1,650 to €2,475, rounded to €1,700 to €2,500. AV equipment (sound, projector, microphones, technician) is a separate line and is not included here.
Ask the venue to spell out the number of breaks, what they include (hot drinks only, or with pastries and fruit), the lunch format (buffet, served at table, or trays in the room) and the water provided. The French Foreign Ministry advises travellers to drink only sealed bottled drinks or water that has been made safe, so check that this is what is planned in the room and at breaks.
Standard dinner or gala dinner: how different is the price?
A standard dinner is taken in the hotel restaurant or a restaurant in town, with no private hire. Our model puts it at €25 to €45 per person. For 30 people over two evenings: 30 × 2 × €25 to €45 = €1,500 to €2,700, or about €1,700 to €3,000 with contingency.
A gala dinner is a different product: a more elaborate meal, served in a venue reserved for you, whose hire is a flat fee. For 60 guests, here is the cost of dinner and venue, without entertainment, contingency included:
| Evening venue | Dinner per person | Venue hire | Total for 60, with contingency | Per guest |
|---|---|---|---|---|
| Hotel | €55–85 | €500–1,500 | €4,200–7,300 | €70–120 |
| Private riad or palace | €65–100 | €2,000–6,000 | €6,500–13,200 | €110–220 |
| Agafay desert, shuttles included | €60–95 | €5,000–9,000 | €10,100–17,200 | €170–290 |
For Agafay, the model adds return shuttles at €10 to €15 per person. Entertainment (a DJ at €500 to €1,200, live musicians at €1,000 to €2,000) comes on top if you want it. The pattern to remember: the price of the meal varies little between venues; it is venue hire that widens the gap. The full comparison of the three evening formats is in our guide to the corporate gala dinner in Marrakech, and dinner under canvas is covered in our corporate events in the Agafay desert guide.
What is the catering budget for a full seminar?
Take 40 people, two working days in a 4-star hotel, two nights, a standard dinner on the first evening and a gala dinner in a private riad on the second, with no entertainment or AV.
The meal-related lines are: working days, room included, 40 × 2 × €50 to €75 = €4,000 to €6,000; standard dinner, 40 × €25 to €45 = €1,000 to €1,800; gala dinner, 40 × €65 to €100 = €2,600 to €4,000. Together that is €7,600 to €11,800, or about €8,400 to €13,000 with contingency, which is €210 to €320 per participant for the whole stay. Riad hire adds €2,000 to €6,000 and accommodation €6,400 to €10,400 before contingency, bringing the full stay to roughly €17,600 to €31,000.
Two lessons. First, the working days alone account for about half of the catering budget, because they also carry the room. Second, moving the gala dinner from the hotel to a riad mainly changes the venue hire line, not the meal. For the wider picture of a package, our article on the all-inclusive corporate retreat in Marrakech compares three options.
What sits outside the model: drinks receptions, alcohol, breakfast?
A drinks reception has no line in our model. Its price depends on the number of canapés per person, how long it lasts and the share of hot items, so ask the caterer for a per-person price for a set duration, and how many pieces that buys.
Alcoholic drinks are excluded from all our estimates. Not every venue is licensed to serve alcohol and bringing your own is not always allowed, so raise it in the first conversation, before you choose the venue. If alcohol is sold or consumed at the event, a licence takes 30 to 45 days, so plan two months ahead.
Breakfast has no line in our model. Check on the accommodation quote whether it is included in the room rate, and the opening time: if the first session starts early, an earlier service has to be requested in advance.
Venue’s own caterer or an outside caterer?
Many riads, villas and hotels require you to use their caterer, or charge a corkage-style fee to accept yours. Settle this before you sign the venue, not after, because it changes the comparison between two venues. Our article on catering prices per person in Morocco (in French), written for weddings, explains what a caterer’s quote can hide; the same logic applies to a seminar.
How should you handle dietary needs and timings?
In Morocco, meat is halal by default. Vegetarians, vegans, allergies and other diets should be collected at registration, then passed to the caterer with the exact number of covers for each. Our guide to managing halal, vegan and kosher requirements at an event in Morocco (in French) gives the full method.
For timings, the heat matters. From May to October, average highs in Marrakech exceed 28°C, and 37°C in July and August, so serve lunch indoors or in the shade and keep water freely available at breaks. In winter the evenings are cool, so a terrace dinner needs an indoor fallback.
Ramadan 2027 is expected to begin around 8 or 9 February, with Eid al-Fitr around 9 or 10 March, give or take a day. If your seminar falls in that period, raise it with the venue when you book so that service times can be agreed.
What should you ask the caterer before signing?
- Does the per-person price include service, crockery, linen and staff?
- How many breaks per day, and what is in them?
- Is lunch a buffet or a served meal, and how long does it take?
- Until when can the number of covers change, and by how much?
- How are dietary options labelled on the dishes?
- Which drinks are included, and is the water in sealed bottles?
- Can we have a tasting before the gala dinner?
Frequently asked questions
How much does seminar catering cost in Marrakech?
In our model, the working day (room, breaks, lunch) costs €35 to €100 per person depending on the venue category, a standard dinner €25 to €45 and a gala dinner €55 to €100 depending on the venue, before venue hire, excluding alcohol and before 10% contingency.
Is lunch included in the day delegate rate?
Yes, in the standard working-day package, together with the room and the breaks. Still check the quote, and remember that days without sessions do not include lunch.
Is a gala dinner much more expensive than a standard dinner?
The meal itself costs about twice as much. What really lifts the bill is venue hire: €500 to €1,500 in a hotel, €2,000 to €6,000 in a riad and €5,000 to €9,000 in Agafay in our model.
Do your estimates include alcohol?
No. Alcoholic drinks are excluded from all the calculator’s estimates and are priced with the venue, which must be licensed to serve them.
