A one-day business meeting in Marrakech is a room, two breaks, lunch and the audio-visual, with no hotel night: the format of a company or team already in town, of a Moroccan subsidiary gathering its managers, or of a group staying elsewhere that hires a room for a working day. Here is what the package includes, how to choose the room and its layout, and what the usual extras cost: transfers, shuttles, dinner.

## What exactly is a day-delegate package?

The term comes from the hotel trade: a day-delegate rate covers the meeting room for the day, two breaks (coffee, tea, juice, pastries) and lunch, usually served in the hotel restaurant or as a buffet in an adjoining lounge. The half-day rate is the same package with one break, with or without lunch. Basic equipment, screen and projector, is sometimes included and sometimes charged separately: that is the first line to have confirmed.

Never included: accommodation, transfers, dinner, alcoholic drinks, the facilitator or speaker, and audio-visual beyond the screen (sound system, microphones, a technician on site). The format therefore differs from a residential seminar, where the hotel sells the room, the working day and dinner together. ## Four possible venues for one day

A 4- or 5-star hotel meeting room is the simplest choice: it is equipped, lunch is on site, and the package exists as such. A riad suits ten to thirty people in a lounge opening onto the patio, with lunch at home, but audio-visual is limited and access through the medina is often on foot from the last point a car can reach. A villa or estate on the edge of town gives a quiet, private setting for twenty to a hundred people, at the cost of a return shuttle. ## Which layout and how much floor space?

A room’s advertised capacity is almost always its theatre capacity, rows of chairs facing a screen. A working day is run in a U or classroom layout, with tables, and the same room then seats far fewer people. The ratios taken from a large city hotel’s technical sheet give the order of magnitude: 2.2 to 3.2 m² per person in a meeting layout with tables, 1.2 to 1.5 m² for a seated banquet, 0.8 to 0.9 m² for a standing reception.

Ask for the capacity in your layout, not the maximum, and have the quote list what is installed: screen, projector, sound, microphones, internet with a guaranteed speed, flip charts. When equipment is charged separately, expect €100 to €300 a day for a projector and screen, €150 to €400 for sound and €50 to €150 for microphones. ## How much does a one-day meeting in Marrakech cost?

The reading is simple: the day-delegate package is charged per person, so the cost per head barely moves with group size; only audio-visual, charged by the day, gets diluted. What really moves the bill is what you add around the day. ## A schedule that fits in one day

An effective working day has four blocks of one to one and a half hours, no more. A typical schedule: welcome coffee at 8:30, opening session 9:00 to 10:30, break, workshops 11:00 to 12:30, a lunch of an hour and a half, afternoon session 14:00 to 15:30, break, wrap-up and decisions 16:00 to 17:00. After 17:00 attention drops: if the agenda overflows, you need a second day, not an extra session.

If the group comes from outside the city, travel time adds up on both sides. From the airport, allow fifteen minutes to the centre and more to the Palmeraie; from the medina, a room in Hivernage or Gueliz is a few minutes by car. A return airport transfer costs €6 to €12 per person in the model, a shuttle for the day €10 to €18.

## Breaks and lunch: what to specify

Dietary requirements go in with the order, not the day before: halal, vegetarian, allergies. Supplements for special diets are among the costs that do not appear in the first quote. Also specify the form of lunch: a buffet is faster than a served meal and lets you restart at 14:00; a served lunch suits a small committee. Finally, ask for a long afternoon break with somewhere to sit outside: in Marrakech a hotel terrace or garden is worth more than a third session.

## When to book, and which formalities?

For a day without accommodation, one to three months ahead is usually enough for a hotel room (two to three months if you hire audio-visual separately); high season, March to May and September to November, lengthens lead times because the rooms also serve residential seminars. Audio-visual suppliers ask for two to three months’ notice. An event is declared to the prefecture thirty days ahead above a hundred people, fifteen days below that. For a group flying in, each participant needs a passport valid for the whole stay and a return ticket.
