To choose an event agency in Marrakech, start with four checks rather than the photo gallery. Who from the agency will actually be on site on the day? What does the quote cover, line by line, and what does it leave out (flights, alcoholic drinks, tourist tax, the agency’s own fee)? How do the deposit and cancellation terms work? And who answers your emails, in your language and your time zone, during the months of preparation? An agency that gives clear answers to those four questions before you sign is usually the one that will hold the running order together on the night. This guide sets out the questions to ask, how to read a quote and the warning signs worth taking seriously.

## What does an agency do that you cannot do yourself?

Plenty can be booked online: hotel rooms, a restaurant table, an airport transfer. For ten friends, that is often enough. An agency earns its keep when bookings have to fit together: a private venue that only accepts its own caterer, sound equipment sized for an open courtyard, a group arriving on several different flights, an evening outside the city with a return journey to organise.

The table below separates what works well remotely from what needs someone on the ground. It does not say you need an agency; it shows where your time and your risk pile up if you go without one.

| Item | On your own, from home | With an agency on site |
| --- | --- | --- |
| Accommodation | Fine for a small group; harder when you need to block dozens of rooms | Negotiated room block, rooming list, arrivals handled |
| Evening venue | Chosen from photos, unseen | Site visit, exclusive hire, checks on power, access and finishing time |
| Catering, décor, AV | One contract per supplier, coordinated by you | One point of contact coordinating everyone |
| Transfers | Taxis, or bookings flight by flight | Vehicles sized for each arrival, greeting at the terminal |
| On the day | You handle problems while also hosting your guests | A team runs the schedule from morning until the last guest leaves |

One point to be clear on: flights sit outside this scope. They are booked by you or by your travel agent; the event agency takes care of everything that happens once the group lands in Marrakech.

## Which questions should you ask before signing?

These eight questions fit into a first call. A vague answer is an answer in itself.

- Who will be on site on the day, and until what time? A name, not “our team”.

- Who is my contact during the planning? One person who knows the file and picks up the phone.

- Have you been to the venue you are proposing? And when was the last visit?

- What is in each line of the quote? Number of nights, meals and transfers, and what is excluded.

- Is your management fee shown separately? Or spread across the other lines?

- What deposit, by when, and in which currency? Plus the schedule for later payments.

- What do we lose if we cancel three months, one month or one week out? In writing.

- What is the fallback plan? For rain, a power cut or a delayed flight.

The first two matter most. Subcontracting décor or AV is normal practice; subcontracting the person who makes decisions when something goes wrong is not.

## How do you read an agency quote?

A readable quote is laid out item by item, with a quantity and a price on each line. To show what that looks like, here is a 60-person seminar estimated with the model behind our budget calculator: a 4-star hotel with single rooms, 3 nights, 2 working days with AV, 2 dinners, one evening event at the hotel with a DJ, a treasure hunt in the medina and airport transfers.

| Line | Estimated range |
| --- | --- |
| Accommodation, 3 nights | €14,400 to €23,400 |
| Working days (room, breaks, lunch), 2 days | €6,000 to €9,000 |
| AV: sound, projector, microphones, technician | €1,200 to €2,400 |
| Dinners, 2 evenings | €3,000 to €5,400 |
| Evening event: dinner | €3,300 to €5,100 |
| Evening event: venue hire | €500 to €1,500 |
| Entertainment: DJ | €500 to €1,200 |
| Medina treasure hunt | €1,800 to €2,700 |
| Return airport transfers | €400 to €700 |
| Total including 10% contingency | €34,200 to €56,600 |

Three lessons apply to any quote you receive.

### Accommodation is the heaviest line

In this example, the hotel nights alone account for more than 40% of the total. Check that line first: hotel category, single or shared rooms, number of nights. Two quotes with a different number of nights cannot be compared.

### The contingency should be visible

Our calculator adds 10% to the sum of the lines: the lines here add up to roughly €31,100 to €51,400, and the contingency takes the total to €34,200 to €56,600. That rate is a cautious choice built into our model, not an industry standard. What matters is that a quote states whether it includes a contingency and what it is for. A margin hidden inside every line makes comparison impossible.

### Exclusions matter as much as inclusions

Our estimate leaves out four items: flights, alcoholic drinks, tourist tax and the management fee. A serious quote names them, even if only to say they are not included. If one of them is missing altogether, ask in writing. To put several proposals on the same footing, our [RFP template and quote comparison grid](https://saphyyrevents.fr/en/event-rfp-template-compare-quotes-marrakech) walks through the method.

## Which warning signs should make you pause?

The same signs come up again and again, and all of them show before you sign.

- A single price with no breakdown, or a “from” figure nobody can explain.

- A venue nobody at the agency has visited.

- A deposit requested before any written contract.

- No answer on cancellation terms.

- Answers that change depending on who you speak to.

- A promise that anything is possible, whatever the date and budget.

The last one is the most telling. An agency that knows the city will also tell you what does not work: an outdoor dinner on a winter night without an enclosed tent, a medina venue where the music must stop early, a desert camp too far out for a group that is working the next morning. Our [brief template for comparing quotes](https://saphyyrevents.fr/en/event-rfp-template-compare-quotes-marrakech) helps you check each point.

## An agency at home, in Morocco, or both?

Companies abroad often ask this. An agency based only at home speaks your language and works your hours, but relies on suppliers it never sees. An agency based only in Marrakech knows the venues, but the planning happens remotely, sometimes in a second language. To see what a local ground handler brings, see our guide to a [DMC in Morocco](https://saphyyrevents.fr/en/dmc-morocco-destination-management-company).

A two-office model tries to combine the two, and it is ours: Saphyyr Events has one office in Paris and one in Marrakech. You plan the project with us in French or English; a team is on the ground all year round to visit venues, negotiate with suppliers and run the day itself. Many of our clients only travel for the event.

The time difference is small. Morocco has been on GMT all year round since 20 September 2026: the same time as London in winter, one hour behind in summer, and one or two hours behind Paris depending on the season. A direct flight from Paris takes a little over three hours.

## When should you contact an agency?

For a seminar or a corporate evening, hotels are generally booked three to six months ahead, and room blocks are best negotiated around six months out. March to May and September to November are high season in Marrakech, and lead times lengthen in those months. Getting in touch early commits you to nothing and gives you time to compare. Our [planning timeline from six months out to the week after](https://saphyyrevents.fr/en/corporate-retreat-marrakech-planning-timeline) sets out each step.

For the first conversation, have four things ready: a preferred date and a fallback, the number of people, the format (a day, a stay, an evening) and a budget envelope, even a rough one. With those, an agency can already tell you what is realistic. For larger groups, our guide to [seminars for 50, 100 or 200 people](https://saphyyrevents.fr/en/seminar-for-50-100-200-people-marrakech) covers the logistics that change with size.

## Frequently asked questions

### How much does an event agency in Marrakech cost?

The agency’s work is charged as a management fee, either shown separately or built into the other lines. Our calculator deliberately leaves it out: ask every agency to show it on a line of its own, which is the only way to see what you are paying for their work. How agencies charge, with sample budgets, is covered in our guide to [what an event planner in Marrakech costs](https://saphyyrevents.fr/en/event-planner-marrakech-cost).

### Does the agency book flights?

Not in our case. Flights are booked by you or by your travel agent. The event agency takes over on arrival: greeting, transfers, accommodation, programme and evening events.

### Do we need to visit Marrakech beforehand?

Not necessarily, if the agency has a team on site to visit venues for you. A recce still helps for a large event, but many of our clients only travel for the event itself.

### How many quotes should we ask for?

Two or three are enough, provided they all answer the same brief. Beyond that, the time spent comparing outweighs what the comparison tells you.

### Can an agency handle a private event?

Yes. Birthdays, family gatherings and private celebrations are prepared the same way, with an itemised quote and a team present on the day.

We plan your event from Paris and deliver it in Marrakech, with one contact from the first call until the last guest leaves: see our [event planning in Marrakech](https://saphyyrevents.fr/en/event-planning-in-marrakech), test scenarios line by line with the [seminar and corporate event budget calculator](https://saphyyrevents.fr/en/seminar-team-building-budget-calculator-marrakech), or ask for a [free quote](https://saphyyrevents.fr/en/free-quote) with your date and group size.
