For a conference or convention of 300 to 1,000 delegates in Marrakech, the first question is not the setting but the plenary: very few venues seat more than 500 people in one room. The Palais des Congrès de Marrakech, attached to the Mövenpick Mansour Eddahbi hotel, lists a 1,487-seat auditorium and a ballroom for up to 2,000 people, and several large hotels publish rooms for 300 to 480 in theatre style. The second question is accommodation: 1,000 delegates means 1,000 rooms, so several hotels and a shuttle plan. Leaving aside the plenary, AV and the gala, which are quoted on request, our calculator gives about €260 to €440 per delegate for two nights in a four-star hotel, two dinners, transfers and shuttles. Here are the verified venues, the logistics maths and the timeline to work to.

## Can Marrakech host a 1,000-person event?

Yes, and it has done so at a far larger scale. The city hosted COP22 from 7 to 18 November 2016 on the temporary Bab Ighli site, and the Annual Meetings of the International Monetary Fund and World Bank from 9 to 15 October 2023. Those were state events with state resources, but they show that hotels, the airport and local suppliers can absorb thousands of participants.

Marrakech-Menara airport passed 10 million passengers in 2025, according to ONDA figures reported by the Moroccan press. It has direct flights from many European cities, including Paris, Brussels and Geneva; routes change every season, so check them for your dates. Morocco stays on GMT all year, the same as London in winter and one hour behind in summer, which makes it easy for UK and Irish delegates.

## Which venues can take a plenary of 300 to 1,000?

These are rooms whose capacity is published by the venue itself, checked on 14 October 2026. Published capacity is almost always the densest layout, theatre style: a seated dinner in the same room takes far fewer.

Two notes. The Palais des Congrès adjoins a 503-room hotel, so part of the group can sleep a few steps from the plenary. The Palmeraie Conference Centre, long advertised for plenaries of up to 1,500 people (a figure still quoted in 2024 by the MICCAI conference), is not in this table: its official page is no longer online, and the operator has announced that the Palmeraie Palace main building is closed for renovation, with no date given. Beyond the plenary, a convention needs breakout rooms, a registration area, space for coffee breaks and often an exhibition area for sponsors. Ask for the full floor plan, not just the main room’s fact sheet.

## How do you house 300, 500 or 1,000 delegates?

This calculation drives everything else. One delegate in single occupancy is one room, and even a large hotel will not block every room for a single group. Above 300 people, plan on two to four hotels, ideally close to each other and to the plenary venue.

- Cluster by district. Hivernage, Agdal and the Palmeraie have large hotels. Neighbouring hotels mean fewer shuttles and shorter morning transfers.

- Keep a single rooming list. Who sleeps where, each person’s arrival and departure, dietary needs: one file, maintained by one person.

- Negotiate room blocks early. For a seminar, hotels are usually booked three to six months ahead, with blocks negotiated around six months out. For 500 or more, start earlier, especially in high season, from March to May and September to November.

Add rooms for the production crew, speakers and organisers: for 1,000 delegates that quickly means dozens of extra rooms.

## How many vehicles for arrivals and shuttles?

The standard vehicle is a coach of around fifty seats. If everyone landed at once, you would need about 6 for 300 people, 10 for 500 and 20 for 1,000, before any margin for luggage and hosts. In practice, delegates arrive on dozens of flights over one or two days, so you plan flight by flight, with rotations and a team in the terminal throughout the arrival window. Flights are booked by you or your travel agent. The morning of the plenary is the opposite problem: everyone must be seated at the same time. Work out coaches hotel by hotel, with fixed departure times and a spare vehicle. On gala night, stagger the returns, because not everyone leaves at once.

## How much does a convention in Marrakech cost?

Our calculator prices the items that are paid per delegate. We applied it to a two-night convention in a four-star hotel, with two dinners, airport transfers and local shuttles over two days, including a 10% contingency:

In five-star hotels, the same items come to about €217,800 to €361,900 for 500 delegates, or €440 to €720 each: accommodation doubles.

The table leaves out the items that make or break a convention, all quoted on request: hire of the plenary and breakout rooms, AV (stage, screens, control room, filming, simultaneous interpreting), set design, lunches and breaks on working days, the gala dinner and registration. Our model’s AV allowance is sized for a seminar room; a 1,000-seat plenary is a different scale. The table also excludes flights, alcohol, tourist tax and organisation fees. ## Where can you hold a gala dinner for 500?

The plenary room is not always the dinner room. For an evening away from the hotel, few venues seat several hundred guests. Palais Dar Soukkar, on the Ourika road, states on its website a capacity of 1,800 seated and 2,500 for a standing dinner, and offers packages for congresses and corporate galas. For 500 people, the evening is first a transport exercise: around ten coaches out, staggered returns, and a realistic end time, as amplified music usually stops between midnight and 1 am.

## What timeline and formalities apply?

Six months is comfortable for a seminar. For a convention of several hundred, secure the plenary venue and room blocks first, then AV, transport and the gala. On formalities, an event of more than 100 people requires authorisation from the prefecture, requested 30 days ahead. In Morocco, meetings open to the public also fall under a prior-declaration regime set by a 1958 dahir; a private, invitation-only convention in a hotel is in principle not a public meeting, but have the venue confirm the procedure. For delegates, check entry requirements nationality by nationality on official government sources: French citizens, for example, need a passport valid for the whole stay, as an ID card alone is not accepted.
